How to Convert a PDF to Word Without Losing Formatting
Updated
You convert a PDF to Word, and the tables look odd or a page break lands in the wrong place. This is common, and it isn't always the converter's fault. Knowing why it happens makes it much easier to get a clean file.
Why formatting changes
A Word document stores structure: this is a heading, this is a table, this paragraph flows to the next page. A PDF stores positions: this letter sits at this exact spot on the page. A converter has to look at those positions and work out the structure again. Most of the time it gets this right, but complex layouts leave room for guesswork.
Step 1: start with the best file you have
A PDF exported directly from Word or a design app has real text, so it gives the best results. A file that has been printed and scanned is only a picture of a page. Check by trying to select a sentence. If you can't, read our guide to scanned and digital PDFs.
Step 2: convert the file
Upload your document to the PDF to Word converter and press Word. The DOCX is ready to download. There's no sign-up, and you can upload up to 200 MB.
Step 3: fix the common problems
| What you see | Why it happens | The fix |
|---|---|---|
| Different font | The font isn't on your device | Install it, or select all and apply a similar font |
| Page breaks in new places | Word's text flow differs from the fixed PDF | Remove manual breaks and insert your own |
| Table cells out of line | Merged cells were hard to detect | Use Word's Merge and Split Cells tools |
| Extra spaces between words | Spacing was rebuilt from positions | Use Find and Replace to swap double spaces for single ones |
| Text in separate boxes | The PDF placed text in frames | Copy the text into normal paragraphs |
Step 4: save your final copy
Once you have finished editing, keep the DOCX as your working copy, and make a new PDF with our Word to PDF converter for sharing.
Should you use a different format?
- If the document is mainly tables of numbers, PDF to Excel may be a better fit.
- If you only need to present the pages, PDF to PowerPoint keeps them looking exactly the same.
- If you only need a picture of a page, PDF to JPG is the fastest route.
